Common Position Responsibilities include:

  • Provide a wide variety of confidential administrative/clerical tasks for the managers and staff for the assigned organization, managers and support staff.
  • Answer and screen telephone calls; respond to most questions and complete most business involving established policy or routine matters; forward questions and matters to appropriate personnel as needed, following up to verify a timely response.

  • Schedule and arrange meetings, conferences and training, including associated logistics and any necessary equipment (securing rooms, phone bridges, projection equipment, etc.).Assist, compile, organize and verify appropriate files, notes and other materials are in order and ready for use at meetings, appointments, etc.
  • Draft agendas, coordinate speaking points, make arrangements for guest(s) / guest speakers and research and draft background information / materials as requested.

  • Schedule and track to completion all managers’ and employees’ progress reviews, performing associated follow-up to obtain required signatures and approvals.
  • Apply strong familiarity with manager’s performance contract to prioritize and track meetings, work, and delegated projects or tasks to maintain accountability and to assist in ensuring established targets are met.
  • Validate on-time documentation submission to Human Capital Management (HCM) and verify all processes are tracked to completion within established timelines.
  • Arrange travel, foreign and domestic, including airline arrangements, hotel accommodations, and rental car and shuttle reservations for manager and staff as required. Prepare and process travel authorizations and vouchers for Manager, Lead and employees using Concur and/or Concur travel agent. Confirm travel is complete and vouchers are processed in a timely manner, in accordance with federal and travel procedures and policies. Provide necessary foreign and domestic forms associated with travel.
  • Participate on business process improvement and other special project teams, as requested by the manager.
  • Maintain and update the organizational SharePoint site. To include monitoring retention policy on all SharePoint folders; establishing calendars, and content maintenance and currency.

Common Position Requirements include:

Education:

  • High School diploma or equivalent is required
  • Associate’s Degree in Secretarial Science, Administrative Management or a related field is preferred.

Experience:

  • 4-6 years of demonstrated administrative/ clerical experience is required (Level 2 positions)
  • 6+ years of demonstrated administrative/clerical experience is required. (Level 3 positions)
  • 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel and Outlook are required. (Proficiency with Microsoft Office 2010 is required).

Position Overview

This contract position is located in the Business Operations (TAB) organization of client’s Transmission Services (T) business line. The North American Electric Reliability Corporation (NERC) Reliability Program Administration function includes the collaboration, coordination, and administration of client’s operational activities and administration of client’s reliability activities. The primary focus of this role is to facilitate such activities pertaining to the NERC Reliability Program including: providing business and process management support; maintaining documentation and records of the program; coordinating the review of proposed reliability standards; providing administrative support for client’s Reliability Council meetings; coordinating client’s participation in reliability and regulatory standard development at all reliability organizations including NERC, Federal Energy Regulatory Commission (FERC), Western Electricity Coordinating Council (WECC), and the Northwest Power Pool (NWPP) to achieve a “one client” response. This position also verifies that client and its partner transmission services are implementing the FERC reliability and North American Electric Reliability Council (NERC) regulations.

Position Responsibilities

  • Assist in facilitating team efforts to develop/validate data for the Transmission Reliability Standards Group for the NERC standards development process and NERC reliability standards implementation process. This includes Reliability Standard Owners (RSO) support such as providing an annual review of RSO designations via RSO Memo, assisting with RSO training and onboarding, and drafting updated Reliability Standard Implementation Planning Process (RSIPP) documentation.
  • Monitor and coordinate efforts to verify that client implements NERC reliability standards within regulatory deadlines by participating in weekly RSO calls to review the NERC Standards Bulletin and providing RSIPP project support, focusing on standards interpretations, evidence identification, and risk/internal controls documentation.
  • Provide analysis, research and recommend solutions to the Reliability Standards Owners across Transmission to assist them with implementation of NERC reliability standards.
  • Analyze evidence provided to validate client’s compliance with requirements, document the results of that analysis, present findings, and support the development of corrective action plans to resolve gaps between current practice and required compliance mandates as necessary.
  • Coordinate with in-house subject matter experts (SMEs) to facilitate client technical reviews, verify compliance and develop mitigation plans to address compliance deficiencies as necessary.
  • Provide feedback regarding the efficiency and effectiveness of existing systems utilized for tracking SME questions, requests and tasks, recommending improvements and solutions to internal system inadequacies.
  • Coordinate responses to requests for information, audits, spot checks, surveys and other NERC/WECC Program compliance activities.
  • Communicate, mediate and facilitate timely resolution of issues with implementing organizations.

Requirements Education & Corresponding Experience

  • Bachelor’s degree in Engineering, Business Administration or Management, Organizational Development or a related discipline is required.
  • Related Experience – Experience should be consistent with the specific requirements of business and operations analysis and progressively more technical in nature.

Position Overview

Position Responsibilities

  • Populate the draft Safety Content Index (draft index), following the previously established format within the draft index, with the subject and standard number of all safety requirements as well as with a block for all safety requirements that apply to client Staff construction.
  • Perform gap analysis where requirements may differ or be in conflict among any or all of the sources.
  • Review the standard construction specifications libraries, including Active Energy Delivery Facility, Active Transmission Line, and Active Access Road construction specifications as well as the Contractor Safety and Health Requirements for Prime and Subcontractors (CSHRPS).
